1. Who we are
PropertyPanel is a UK property portfolio, reminder and reporting tool operated under the PropertyPanel name. For privacy questions, contact contact@propertypanel.co.uk.
2. What this policy covers
This Privacy Policy explains how we collect, use and protect personal data when you use PropertyPanel, create an account, subscribe to a plan, store property records, upload documents, receive reminders or contact us.
PropertyPanel is intended for adults using the service for property investment, landlord or portfolio administration. It is not intended for children.
3. Personal data we collect
- Account data: email address, login details, account status, subscription plan and authentication records.
- Billing data: Stripe customer references, subscription status, payment status, invoice references and billing history. We do not store full card numbers.
- Portfolio data: property names, addresses, postcode, region, property values, mortgage details, rent amounts, tenancy dates, rent records, expenses, documents and reminders.
- Third-party data you enter: tenant names, emails, phone numbers, previous addresses, guarantor details, landlord names, contractor details, supplier details and information contained in documents you choose to upload.
- Support and communications: messages you send to us, email preferences, reminder emails and administrative communications.
- Technical data: browser, device, IP address, security logs, error logs and usage events needed to run and secure the service.
4. Your responsibility for third-party data
If you store tenant, guarantor, landlord, contractor, supplier or other third-party personal data in PropertyPanel, you are responsible for making sure you have a lawful basis to do so and that you use the data fairly. Do not upload data or documents you are not entitled to store or process.
5. How we use personal data
- to create and manage user accounts;
- to provide portfolio tracking, rent tracking, expenses, documents, reminders, reports and calendar tools;
- to process subscriptions and billing through Stripe;
- to send account, security, reminder, subscription and service emails;
- to provide support and respond to requests;
- to prevent misuse, protect accounts and maintain service security;
- to improve PropertyPanel and understand which features are used;
- to comply with legal, accounting, tax and regulatory obligations.
6. Lawful bases
Under UK data protection law, we rely on the following lawful bases:
- Contract: to provide your account, subscription, portfolio tools, document storage, reminders, reports and support.
- Legitimate interests: to keep PropertyPanel secure, prevent misuse, improve the service, understand usage and manage customer relationships.
- Legal obligation: to keep records required for tax, accounting, dispute handling, fraud prevention or compliance.
- Consent: for optional marketing emails or optional cookies where consent is required.
7. Payments
Payments are handled by Stripe. Stripe processes payment details, card information, invoices and fraud-prevention checks under its own terms and privacy policy. PropertyPanel stores Stripe references and subscription status so that your access can be managed.
8. Service providers
We use trusted service providers to run PropertyPanel. These may include Supabase for authentication, database and file storage; Vercel for hosting; Stripe for payments; Resend for email delivery; and other providers used for support, security, analytics or product operations.
We do not sell your personal data. We only share data where needed to provide the service, comply with law, protect users or operate PropertyPanel.
9. International transfers
Some providers may process data outside the UK. Where this happens, we rely on safeguards such as UK-approved contractual protections, adequacy arrangements or equivalent transfer mechanisms required by data protection law.
10. Data retention
- Account and portfolio data is kept while your account is active.
- You can export portfolio data from the account area.
- You can delete portfolio data, including properties, transactions and document records, from the account area.
- You can request or use account deletion. This removes login access and active portfolio records, but billing, invoice, security, tax, legal or dispute records may be retained where necessary.
- Billing, invoice, payment, security and dispute records may be kept for as long as needed for legal, tax, accounting, fraud-prevention or dispute-resolution reasons.
- If your account is closed, we will delete or anonymise personal data within a reasonable period unless we need to keep it for the reasons above.
11. Security
We use technical and organisational measures designed to protect personal data, including account authentication, access controls, row-level database security, private storage controls and secure payment processing through Stripe. No online service can guarantee absolute security, so you should keep your login details safe and keep independent copies of important documents.
12. Cookies and similar technologies
PropertyPanel uses essential technologies needed for login, account security and service operation. If we introduce optional analytics, advertising or marketing cookies, we will request consent where required.
13. Marketing emails
We may send service emails about your account, subscription, security, reminders and important product changes. We will only send optional marketing emails where legally permitted. You can opt out of marketing emails without affecting essential service messages.
14. Your rights
You may have the right to access, correct, delete, restrict or object to the use of your personal data, request portability, withdraw consent where consent applies and complain to a regulator. To exercise your rights, contact contact@propertypanel.co.uk.
You can complain to the Information Commissioner's Office at ico.org.uk if you are unhappy with how your data is handled.
15. Changes to this policy
We may update this Privacy Policy as PropertyPanel develops or if legal, technical or business changes require it. The latest version will be published on this page.
